A. SUMMARY STATEMENT:

Under the supervision of the Youth Outpatient Coordinator, the Receptionist shall be responsible for the orderly operation of the reception area including the handling of telephone calls, receiving guests and clients to the agency, processing incoming/outgoing mails, and performing clerical duties as directed.

B. DUTIES AND RESPONSIBILITIES:
1.  MANAGE THE ORDERLY OPERATIONS OF THE RECEPTION AREA (50%):

  1. Maintain staff, client and guests sign In/Out logs.
  2. Maintain a log for Adolescent Treatment and Mental Health client calls.
  3. Answer and route all incoming calls to the staff.
  4. Supports staff with incoming mental health & substance abuse referrals via phones, faxes, & walk-ins and completes initial contacts
  5. Manage messages on the answering machine on a daily basis
  6. Receive guests and clients to the agency in a friendly and courteous manner.

2. PROCESSING INCOMING AND OUTGOING MAILS (20%):

  1. Sort, stamp date and distribute all incoming mails appropriately.
  2. Open and stamp date of mails received as directed.
  3. Log and prepare all outgoing mails for pick up.

3. PERFORM CLERICAL TASKS AS DIRECTED (10%):

  1. Type reports, correspondence, proposals and memos as directed.
  2. File and maintain records (check reports, equipment agreements, staff sign in/out log and other office forms)
  3. Duplicate and distribute materials to staff.

C. QUALIFICATIONS (SKILLS/KNOWLEDGE AND ABILITIES):

1.   REQUIREMENTS:

  1. Two years of college education related to field or equivalent work experience related to field.
  2. Fluency in Spanish strongly preferred.
  3. Permanent resident or U.S. Citizen; proof of work eligibility upon hiring.
  4. Valid California Drivers License and current automobile liability insurance.
  5. Must have at least three (3) years of recovery or a drug free lifestyle as of the date of application.
  6. Must be able to work with people of diverse cultural, educational, social, and economic backgrounds.
  7. Demonstrated knowledge and skill in computer operations.
  8. Recent physical examination and TB test necessary upon hiring.

2.   PREFERRED QUALIFICATIONS:

  1. One (1) year of experience in a position requiring telephone and clerical work, or related training in an established training program.
  2. Experience with children and youth
  3. Skill and ability to communicate effectively and accurately over the telephone and in writing.
  4. Ability to handle multiple tasks with frequent interruptions.
  5. Typing, computer or word processing skills and accurately prepare correspondence and reports.
  6. Skills in filing and record keeping.
  7. Skill in operating a Fax, copier and postage machine.
